There are pros and cons to using each method, and it’s possible that one is better than the other, depending on your situation. Paper Document Storage

While we do live in a more digital world these days, there are still benefits that paper document storage offers. As an example, if you want to edit papers documents, you have to make a whole new copy. This doesn’t sound like a benefit at first, but it does make it more difficult to make changes to files without other staff members knowing. Presentation handouts are another perk of keeping files in paper form.

On the flipside, you have to worry about using more ink and, naturally, paper. Papers will take up more space as they pile up, so you need to make sure your business has the space to store them unless you outsource document storage to another company. You also have to worry about disposing of obsolete files whenever it’s time to destroy them.

Digital Document Storage

With digital document storage, you can save space because you don’t have to make room to store papers throughout your office. You also don’t leave papers lying around, meaning it’s harder for your files to fall into the wrong hands. Editing is also easier when you go digital, as you’re able to streamline quite a bit of work.

There are a couple of concerns that need to be addressed, though. For example, you’ll be more dependent on the Internet, as you won’t be able to access your files otherwise. Digital document storage systems are also more complex than simply using papers, meaning you’ll need to train your staff to use your new system.
